Privacy Policy

PlanShire ("we," "our," or "us") operates the PlanShire platform at planshire.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our event planning service.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, phone number (optional), and location preferences (city/ZIP code). Your password is managed securely through AWS Cognito and is never stored in our database.

Event Data

Information you provide about your events, including event details, guest lists, vendor selections, budget items, seating arrangements, timelines, and checklist items. This data is stored in our secure database and is only accessible to you and any collaborators you explicitly invite.

Uploaded Content

Photos, images, and other files you upload for event pages, scene decoration, invitations, and community posts. Images are processed to strip EXIF metadata for privacy protection before storage.

Usage Data

We automatically collect information about how you interact with our service, including pages visited, features used, and general usage patterns. This helps us improve the platform.

2. How We Use Your Information

  • Provide, maintain, and improve the PlanShire platform
  • Power AI features including event planning assistance, vendor recommendations, budget analysis, and seating optimization
  • Generate and send event invitations, RSVP confirmations, and post-event communications on your behalf
  • Process payments and manage subscriptions
  • Facilitate vendor discovery and matching based on your event needs and location
  • Respond to your inquiries and provide customer support
  • Send important service notifications (account updates, security alerts)

3. Third-Party Services

We use the following third-party services to operate PlanShire. Each service processes data according to their own privacy policies:

  • AWS Cognito — Authentication and account security
  • Stripe — Payment processing and subscription management. We do not store your credit card information; it is handled entirely by Stripe.
  • Anthropic (Claude) — AI-powered event planning assistance. Event data is sent to Anthropic's API to generate recommendations and insights. Data is processed per Anthropic's usage policies and is not used to train models.
  • Google Gemini — AI-powered image generation for scene decoration and invitations. Prompts are sanitized before being sent to Google's API.
  • Google Places API — Vendor discovery and location-based search
  • Resend — Email delivery for invitations, notifications, and post-event communications
  • Amazon S3 — Secure file and image storage

4. Data Security

We implement industry-standard security measures including encrypted connections (HTTPS/TLS), secure authentication with JWT verification, parameterized database queries to prevent injection attacks, CSRF protection, rate limiting on sensitive operations, and image validation with EXIF metadata stripping. While we strive to protect your data, no method of transmission over the Internet is 100% secure.

5. Data Retention

We retain your account data for as long as your account is active. If you delete your account, your data is retained for 30 days (to allow recovery) before permanent removal. Event data shared with collaborators may persist in their event history. Anonymized, aggregated usage data may be retained indefinitely for analytics.

6. Your Rights

Depending on your jurisdiction, you may have the following rights:

  • Access — Request a copy of the personal data we hold about you
  • Correction — Update or correct inaccurate personal data via your Settings page
  • Deletion — Delete your account and associated data from Settings
  • Data Portability — Request your data in a structured, machine-readable format
  • Objection — Object to certain types of data processing

7. Cookies and Local Storage

Cookies We Use

PlanShire uses the following cookies:

  • pp_session (Essential) — Authentication session cookie. HTTP-only, secure, 24-hour expiration.
  • pls_consent (Essential) — Stores your cookie preferences as JSON. 365-day expiry, same-site lax.
  • pls_aid (Analytics) — Anonymous visitor identifier (UUID). 365-day expiry. Only set when you consent to analytics cookies.

Session Storage

We also use browser session storage (not cookies) for the following. These values expire when you close your browser tab:

  • pls_sid— Session ID used for grouping page views within a single browsing session.
  • pls_last_active— Session activity timestamp used to detect session expiration.

We also use browser local storage to persist your theme preference (light/dark mode).

7a. Analytics Data Collection

When you consent to analytics cookies, we collect:

  • Pages visited and navigation patterns
  • Time spent on pages and session duration
  • Device type (desktop, tablet, mobile)
  • Browser and operating system
  • Referral source (which page linked you to us)

We do NOT collect:

  • Personal browsing history outside PlanShire
  • Keystrokes or form input content
  • Financial or payment data via analytics
  • IP addresses in analytics data (we hash IPs in consent records for compliance purposes only)

7b. Analytics Data Retention

Analytics data (page views, sessions) is retained for 90 days. Cookie consent records are retained as long as your account exists. You can withdraw analytics consent at any time by clicking "Cookie Settings" in the footer.

7c. Cookie Consent Management

You can change your cookie preferences at any time. When you withdraw analytics consent, we immediately stop collecting analytics data and your anonymous visitor ID cookie (pls_aid) is removed. Previously collected data is retained for the 90-day retention period, then deleted.

8. Children's Privacy

PlanShire is not intended for children under 13. We do not knowingly collect personal information from children under 13. If we discover that a child under 13 has provided us with personal information, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of PlanShire after changes constitutes acceptance of the updated policy.
